Why it matters
Professional services firms handle sensitive files daily — contracts, ID documents, reports, images, mandates. These are sent via email, stored in personal drives, and shared through messaging apps. Version control is manual. Retrieval is slow. When a dispute arises, there is no audit trail. Private client files are exposed to anyone with the email chain.
Capabilities
All files are stored in private, encrypted Supabase Storage. Access is controlled at the organisation level. No file is publicly accessible without a signed, time-limited URL.
Each client record has its own document space. Files requested and uploaded are stored against that client only. No cross-client exposure.
Request specific files from a client — ID, proof of funds, contracts. The client receives a notification and uploads directly via their secure portal. No email required.
When a file is shared, MOZAIC generates a signed URL that expires after a set period. No permanent links. No accidental exposure after the relationship ends.
Every upload, download, and view is timestamped and logged against the relevant record. The audit trail is immutable and available for compliance review.
Server-side validation ensures only permitted file types and sizes are accepted. MIME checking prevents malicious files from entering the system.
Authorised team members can access client documents within their organisation. Platform admins can manage access at the organisation level.
For real estate verticals, property images and media are stored and linked to listing records. Organised by property, not by upload date.

How it works
The team member specifies which documents are required. The client receives a notification with a secure link to their portal.
The client logs into their private portal and uploads the requested files directly. No email. No shared drives. Files are received instantly.
The team member sees the uploaded files against the client record. They can mark documents as received, request resubmission, or forward securely.
Every action is logged. If there is ever a dispute about what was submitted, when, and by whom, the audit trail provides a complete, timestamped record.
